Processing donations in kind correctly: how the pro forma invoice works

Whether medical materials, hygiene articles or school supplies - many companies would like to provide valuable help through donations in kind. To ensure that your goods arrive safely and transparently, humedica follows a clear procedure. Find out how it works here.

How donations in kind work with humedica

Would you like to donate material goods? Get in touch with our corporate cooperation team. Together we will check whether the products on offer match the current need.

Needs assessment

When your donation is ready for use, we will give you feedback on acceptance and the logistical details.

Pro forma invoice

You create a pro forma invoice in which the donation is documented transparently. You can find out which formalities you need to observe below.

Incoming goods

Your donation in kind will be accepted, checked and sorted into our warehouse or prepared directly for the next aid shipment.

Donation receipt

On request, you will receive a receipt or donation receipt. The basis for this is the pro forma invoice.

Reporting

We show what your help achieves: On request, we can write a short impact report for your company, e.g. for use on your website or for internal purposes. Mutual reporting (e.g. in social media channels or newsletters) is also possible.

Why a pro forma invoice is important for donations in kind

The pro forma invoice is a formal document that quantifies the value of your donation in kind - without a request for payment. It is used for internal documentation and can be used for tax purposes, customs clearance for international shipments or for issuing a donation receipt.
